Privacy Policy
This policy explains what personal information EduQuest Global collects, why we collect it, how we look after it, and the choices you have. It applies to this website and to the competitions we run.

1. Who we are
EduQuest Global organises academic competitions for schools and students, and operates this website. In this policy, “we”, “us” and “our” refer to EduQuest Global, the party responsible for the personal information described below.
2. Information we collect
We only collect information that we need in order to run our competitions.
Account information
- Your email address and a password. Passwords are stored only as a cryptographic hash, never as readable text.
- The type of account you hold (student, school or administrator).
Student information
- Name and email address.
- Class or grade, school name and city.
- A WhatsApp or contact number, where provided.
- The competitions the student has joined, and their participation and result records.
School information
- School name and branch, and the city in which it operates.
- The name and designation of the school coordinator.
- The name and email address of the principal.
- Details of students the school registers, including where a school uploads a list of students in bulk.
Payment information
- The amount paid, a payment reference, and any note you add.
- The proof-of-payment image you upload so that we can verify a transfer. Please upload only what is needed to show the payment, and avoid including details that are not relevant to it.
We do not ask for and do not store card numbers, and we do not process card payments on this website.
Messages you send us
- Your name, email address, phone number where given, and the content of your message when you use our contact form.
Technical information
- Standard server logs, which may include your IP address, browser type and the pages requested. These help us keep the service running securely.
3. Children’s information
Many participants in our competitions are children. We take this seriously, and we limit what we collect about a student to what a competition actually requires.
- Where a school registers its students, the school is responsible for having the authority to share those students' details with us, including any consent required from a parent or guardian under the school's own policies and applicable law.
- Where a student registers individually and is below the age of majority, registration should be completed by, or with the permission of, a parent, guardian or the student's school.
- We do not use children's information for advertising, and we do not sell it.
- A parent, guardian or school may ask us to review, correct or delete a student's information at any time, using the contact details below.
4. How we use your information
- To create and manage accounts and to sign you in.
- To register participants for competitions and to run those competitions.
- To verify payments and keep a record of them.
- To produce results, certificates and participation records.
- To contact you about a competition you or your students are taking part in, including sending certificates and important notices by email.
- To respond to enquiries you send us.
- To keep the service secure, prevent misuse and meet our legal obligations.
We do not use your information to build advertising profiles, and we do not sell or rent personal information to anyone.
5. Cookies and local storage
This website does not use advertising cookies, and we do not run third-party analytics or tracking services on it.
When you sign in, we store a session token in your browser’s local storage so that you stay signed in as you move between pages. Clearing your browser storage will sign you out. Sessions also expire automatically after a period of inactivity.
6. Who we share information with
We share personal information only where it is necessary:
- With the school a student is registered under, so that it can manage its own participants, and with a student or their guardian in respect of that student.
- With service providers who help us operate, such as our server hosting provider and the email service used to deliver notifications and certificates. They may process information only on our instructions.
- Where we are required to do so by law, or to establish, exercise or defend legal claims.
Results, rankings or winners may be published or shared with participating schools as part of a competition. Where we publish results publicly, we will limit what is shown to what is reasonable for recognising achievement.
7. How we store and protect information
- The website is served over an encrypted HTTPS connection.
- Passwords are stored as salted cryptographic hashes and cannot be read by us.
- Access to participant records is restricted to authenticated accounts, and administrative access is limited to authorised personnel.
- Uploaded proof-of-payment images are not published, and are accessible only to authorised accounts.
No system can be guaranteed to be completely secure, but we work to protect your information and to address any issue we become aware of.
8. How long we keep information
We keep account, participation and result records for as long as we need them to run our competitions and to maintain a reliable record of results and certificates, and for as long as we are required to keep them by law. Payment records are kept for the period required for financial and audit purposes. When information is no longer needed, we delete it or render it anonymous.
9. Your rights and choices
Subject to applicable law, you may ask us to:
- Provide a copy of the personal information we hold about you or your child.
- Correct information that is inaccurate or incomplete.
- Delete information, where we are not required to keep it.
- Stop sending non-essential messages. Notices that are necessary for a competition you have entered will still be sent.
We may need to verify your identity, or a school’s or guardian’s relationship to a student, before acting on a request.
10. Changes to this policy
We may update this policy as our competitions develop or as the law requires. The date at the top of this page shows when it was last changed. Where a change is significant, we will take reasonable steps to bring it to your attention.
